Email Guides (Our Servers Only)

POP3 (Post Office Protocol) is the most common way for accessing your email on a mail client. Mail is sent to our servers and resides in a mailbox until it is collected using the POP protocol and stored locally on your machine. Most mail clients will delete the mail from our servers once downloaded locally although it is possible to specify a copy remains on our server. This can be useful if multiple machines need access to a copy of the same message.

Mail Storage Rules (for POP3)
 
We operate with strict rules on our mail servers designed to avoid a build up of mail and ensure that our mail platform remains fast and reliable:
 
a) Read messages, regardless of whether they are housed in multiple folders on Webmail, will be removed automatically from our servers after 30 days.
b) Unread messages are removed after 90 days.
 
Should you need to continually store messages on our servers for longer then we recommend you consider our IMAP solutions where these rules do not apply. Alternatively keep local backups on your own machine.
 
 
IMAP (Internet Message Access Protocol) is an extremely powerful way of interacting with your email without the need to store emails locally. Instead all messages are held on our mail platform and can reached using a mail client or webmail. The advantage over regular POP3 is that it will always look the same however you connect to it: messages will retain their status on the server, including their read status, flagging or whether they've been replied to. This is ideal for people that use mail from multiple locations.

Authenticated SMTP
 
As standard, and for free, all hosting customers can send email through our SMTP servers. In order to send through our servers you need to authenticate a POP3 or IMAP mailbox username and password. The authentication ensures only our customers can utilise this service.

TLS/STARTTLS
 
To connect securely to our mail servers with data encrypted, simply enable STARTTLS (recommended) or TLS on your mail client for both incoming and outgoing mail servers.
 
This will ensure your password is sent in an encrypted form when connecting with our mail servers. We STRONGLY advise you enable this security feature in your mail client.
 
Apple iPhone and iPad
 

 
To connect securely to our mail servers with data encrypted, simply enable STARTTLS (recommended) or TLS on your mail client for both incoming and outgoing mail servers.
 
This will ensure your password is sent in an encrypted form when connecting with our mail servers. We STRONGLY advise you enable this security feature in your mail client.
 
The Apple devices do support TLS but it is not obvious how to set this up. When you originally set the mail account up on your iPhone or iPad, you would have set it up without SSL. To enable TLS, we need to change this setting.
 
Incoming Server
 
Settings ---> Mail, Contacts, Calendars
 
Click on the mail account you want to modify and go to
 
Advanced ---> Use SSL
 
Turn this On. The port number automatically changes to 993 (IMAP) or 995 (POP), you need to change it back to 143 (IMAP) or 110 (POP).
 
Click OK.
 
Outgoing SMTP Server
 
Now tap the back arrow next to 'Advanced' at the top of the screen and then tap SMTP under 'Outgoing Mail Server'. Next click on the 'Primary Server'. On the next screen, turn SSL On. The port number will change to an Apple default, change it back to 25 (or alternatively 2500 or 587).
 
That change should be saved now, so you can press the home button to get back to the home screen of your device.
